Since starting River Lettings Ltd, we have always been open about our Tenant charges, which we always try to keep to a reasonable level. Updated on and effective from 15 December 2015, below is a list of all charges and costs likely to be faced by a tenant, subject to satisfactory referencing and performance of the tenancy. All amounts shown that are chargeable by River Lettings Ltd include 20% VAT.
 

Tenancy Application Charge

When you apply for a property we will ask you to pay an application charge of £195 plus an additional £65 per person. This covers the referencing process and the administration involved in setting up your tenancy, which includes identity, immigration and visa confirmation, financial credit checks, obtaining references from current or previous employers and landlords and any other relevant information to assess affordability, contract negotiation including amending and agreeing terms, and arranging the tenancy and agreement.

Where an applicant is a Permitted Occupier the charge further covers explaining to the permitted occupier their rights and responsibilites under the tenancy. Please note, the charges shown include VAT. Unlike some agents, we do not ask for a holding deposit (usually a non-refundable deposit that is deducted from the move-in balance).
 

The Rent

Once the reference process is complete we will ask you to pay the first months rent in addition to the tenancy deposit (see below). We call this the 'move-in balance' and it must be received in cleared funds no later than two working days prior to commencement of the tenancy.

During the tenancy you will be required to pay the rent monthly in advance, normally two days prior to the rent due date. For example if the rent is due on the 15th of the month, your bank will be asked to pay it to us on the 13th of the month.
 

The Tenancy Deposit

Once the reference process is complete we will ask you to pay the 'move-in balance' which includes the tenancy deposit, a sum normally equivilent to six weeks rent. We use the following calculation to obtain the six week deposit amount:

  • ((Monthly Rent x 12) / 52) x 6

All of our property listings clearly show the amount of deposit required, subject to satisfactory referencing. But note that if you are bringing one or more pets you may be asked to pay an additional £150 for the first pet and £100 for each additional pet to cover the additional risk.

Unless the Landlord chooses to self-register the deposit with one of the approved deposit registration schemes, your deposit will be held by and registered through the Deposit Protection Service. Please visit the DPS website for more information.
 

After You Move In

If you do not conform to the terms of the tenancy, or require changes to the tenancy, further charges will be made as follows. Should you refuse to pay or are unable to pay any legitimate charge during the term of the tenancy we will deduct it from the tenancy deposit.

Gas, Electric, Water, Council Tax, Telephone, Internet & TV

Unless expressly advised in writing prior to commencement, throughout the term of the tenancy, including any or periodic or fixed term renewal, you will remain liable for the cost and responsible for the payment of all supplied utilities, internet services, council tax, the television licence, satellite and/or cable services.

Duplicate Printed Tenancy Agreeement

We will charge you £15 if you require a further photocopy of your original signed agreement. One copy will be given to you on commencement of the tenancy, the cost of which is included in the application charge.

Duplicate Printed Inventory & Schedule of Condition

We will charge you £15 if you require a further copy. One copy will be given to you on commencement of the tenancy, the cost of which is included in the application charge.

Returned Cheque / Standing Order Payment

We will charge you £25 on each occasion that your payment is returned unpaid.

Renewal of Tenancy

  • We will not charge you to renew your tenancy. However, your landlord reserves the right to ask for updated referencing of any or all tenants or permitted occupier. Where requested we will charge each person £35 to be referenced again. Where a guarantor needs to be referenced again no charge will be made to the guarantor.

Rent Arrears

We will charge you if we have to write to you because you are late paying your rent. During the first 7 days of rent arrears we will attempt to remind you by phone, email or SMS text free of charge.

  • First letter free with all further letters charged at £12.50
  • A copy of each letter will be sent to Guarantor free of charge
  • No charge is made for the service of statutory notices
  • You should be aware that legal and/or court fees may be applicable (variable)

Breach of Tenancy

We may charge you if we have to write to you because a member of your household or a guest breaches one or more terms of the tenancy agreement.

  • First letter free with all further letters charged at £12.50
  • A copy of each letter will be sent to Guarantor free of charge
  • £25 maximum charge in any one calendar month
  • No charge is made for the service of statutory notices
  • You should be aware that legal and/or court fees may be applicable (variable)

Addition of a Tenant

We will charge you if you wish to add a tenant to an existing tenancy, for example when moving a partner in. All additions are strictly subject to the approval of the landlord and obtainment of satisfactory referencing.

  • Referencing in accordance with the schedule of charges shown at the top of this page
  • £35 for each remaining tenant or permitted occupier for re-referencing
  • £200 to cover the tenancy amendment, remake of the Inventory & Schedule of Condition, and changes to the deposit registration

Removal of a Tenant

We will charge you if one or more tenants wish to be removed from the tenancy agreement and vacate the property during the tenancy, thereby reducing the number of tenants at the property.

  • £35 for each remaining tenant or permitted occupier for re-referencing
  • £200 to cover the tenancy amendment, remake of the Inventory & Schedule of Condition, and changes to the deposit registration

Breaking The Tenancy Term

We will charge you £350 as a contribution toward the landords cost in finding a replacement tenant if all tenants wish to be removed from the tenancy agreement and leave the property during the tenancy. The breaking of the tenancy is strictly subject to the approval of the landlord and you would be be expected to maintain full payment of all ongoing rent, council tax, and utilities up to the eve of a replacement tenancy commencing (such liability limited to any time where a break clause can be legally effected).

Tenant Liable Repairs

Where repairs are required during the tenancy that are deemed to be the responsibility of the tenant so far as payment is concerned, the full cost will be charged to the tenant for payment during the tenancy. It is not possible to state here what costs may be involved as it is entirely dependent upon the damage caused and the work required to rectify same. Tenants are strongly advised to take out and maintain adequate tenant insurance including cover for accidental damage.

Non-necessary Repairs

Where the tenant requests repair through failure to understand or properly use any fittings or appliance in accordance with any instruction given, the full cost of the contractor's invoice will be passed to the tenant for payment. Requests for repair from a permitted occupant, dependent or guest shall be deemed to be have been requested by the tenant.

Out of Hours Services

Where the actions of the tenant, any permitted occupant, dependent or guest results in the agent attending the property out of hours, time to remedy the situation will be charged to the tenant at the prevailing rate of £45 per hour or part therof. This is in addition to any actual costs arising through the supply and fitment of parts or labour incurred in contracting repairs which will be charged in full at the rate provided by the contractor. Any visit by the agent to the property where liability exists with the landlord shall not be chargeable to the tenant.
 

End of Tenancy

Future Landlord Reference

We will not charge you to provide a reference to your next landlord or their appointed representative. Please note that we cannot provide a reference for a non-managed tenancy.

Professional Cleaning

We will charge you £30 per hour for cleaning if you do not return the property in the same condition of cleanliness as at the start of the tenancy. This does not include any cost arising through the specialist cleaning of carpets, soft furnishings or ovens. These will be quoted seperately. All cleaning charges will be deducted from the tenancy deposit.

Tenant Liable Repairs

Where repairs are required that are deemed to be the responsibility of the tenant so far as payment is concerned, the full cost will be deducted from the tenancy deposit. It is not possible to state here what costs may be involved as it is entirely dependent upon the damage caused and the work required to rectify same.

Non-cancellation of Standing Order

We will not charge you for the first refund of a rent payment made in error following your departure from a property. Further refunds will be refunded less a processing charge of £15 per instance. All refunds will be processed within 48 hours of receiving your bank information.

We hereby confirm that River Lettings Ltd holds Client Money Protection in place, arranged with WR Berkley Insurance (Europe) Limited, whose registered offices are at 40 Lime Street, London EC3M 7AW. Consumer Redress Scheme

We hereby confirm that River Sales Ltd and River Lettings Ltd are registered with The Property Ombudsman, a voluntary redress body to resolve complaints against residential estate agents and residential letting agents, operated by The Property Ombusdman Ltd whose registered offices are at Milford House, 43 -55 Milford Street, Salisbury SP1 2BP.
